I was only going to plan a party — it ended up as an AI platform for execution.

The starting point was concrete: around 60 participants, food and drink, programme, weather preparedness, suppliers, tasks, ownership and constant changes.

I quickly recognised a challenge I have met many times in working life. When many people, activities and dependencies must be coordinated, the information often already exists. But it is scattered across Excel, email, messages, documents, different people and checklists.

So my question became:

Can AI do more than answer questions? Can it understand unstructured information, suggest what should be done and connect it to ownership, decisions and finances?

That was the start of Event Planner.

Today the solution brings participants and RSVP, tasks, owners, deadlines and dependencies, programme, documents, suppliers, travel and accommodation, finances and recommended next activities together in one shared workspace.

The AI works directly with the information. I can for example write:

"The supplier has sent a quote for AV equipment at 85,000. Anne is to clarify by Friday. Add the cost to the forecast and create the task."

Event Planner interprets the message and suggests supplier, cost, task, owner, deadline and any decision need before I approve.

AI suggests. The user decides.

Several organisers can work in the solution at the same time, communicate in real time and use @mentions. Conversations can be linked directly to tasks and costs, so information, ownership and follow-up stay connected.

Finances follow the same logic. Approved budget, forecast, committed cost, actual cost and variance can be viewed in context with tasks, suppliers and decisions.

Event Planner also assesses how ready the event is for delivery: What is missing? What is urgent? What is blocking other activities? Who should own the next step? Where is the financial risk?

The solution adapts to private or business context. It can therefore be used for everything from weddings and confirmations to kick-offs, summer parties, trade fairs, conferences and customer events.

What interests me most is not just Event Planner, but what the project illustrates about AI.

The value does not necessarily arise when we give employees yet another chatbot. It arises when AI becomes a controlled part of execution, where information, conversation, decisions, ownership, finances and follow-up stay connected.

For me, that is precisely where AI becomes interesting as a leadership tool: when it does not just give answers, but contributes to clearer priorities, ownership and progress.
